As part of our 1099 processing services, we print and mail recipient copies of 1098, 1099, and W-2 forms. The default filing option includes printing and mailing. We also offer options where you can choose Print & Mail only. Please check out our different filing options. Our pricing includes all postage and handling. When choosing a service provider for your 1099 filing needs, please ensure that your service provider has the printing and mailing cost included in their prices. Many service providers do not include mailing costs in their pricing, and then you end up paying extra for mailing. How does 1099 mailing work?
Once you sign up with us and enter and upload your data, you can choose the filing option that is right for you at check out. If you have selected the Print & Mail option, we mail out paper statements to your recipients. We also offer electronic delivery of recipient copies at no additional cost (see below).
What is E-Delivery?
The IRS allows payees to provide their recipient statements electronically. If you choose, we can make your recipients’ forms available online. The e-Delivery of 1099 and W-2 forms, also referred to as Web Presentment is an efficient way to furnish recipient copies and stay compliant with IRS regulations. All we need is the email of your recipients. After you check out, we notify your recipients that forms are available online. If your recipients choose, they can retrieve their forms online. If your recipients do not opt for electronic delivery, we print and mail their statements. You can find out more about e-Delivery or Web Presentment here.
You do not have to worry if a recipient accepted e-Delivery or not and if you need to mail a paper statement. Our system keeps track of this, and if a recipient does not accept electronic delivery, we automatically mail out paper statements. You get complete visibility and can access your report to see who accepted e-Delivery.
You do not have to purchase or install any software. We take care of everything, from importing data to printing and mailing. We make sure that we complete the processing of your forms within the deadlines.
What is SSN Masking?
When we print 1099 forms for mailing, we mask the recipient’s tax ids (SSN or EIN) for additional security. With SSN Masking, we only show the last four digits of the tax id. SSN Masking is a huge safety precaution in preventing identity theft.
Pressure seal forms
For recipient statements, we use pressure seal forms to ensure that their statement is delivered to them securely. Pressure seal forms are pre-printed forms with strong adhesive at the edges. After printing the 1099 tax forms, we pass them through our pressure seal equipment that folds and seals the forms.
PDF copies of 1099 forms
As a payer, you get the PDF copies of your 1099 forms. You have the option to print all or selected forms. By default, we mask recipients’ Tax ids, but you have the option to unmask tax ids. You can print you 1099 forms before you check out to make sure there are no errors.
USPS Mail Tracking
We send all our mail pieces using Intelligent Mail Barcodes, which the USPS uses to track mail-pieces within its delivery network before delivery. Mail Tracking gives you access to the status of mail delivery. Mail Tracking is just another way to keep you informed at each step of the process

It depends on how you are filing your 1099 forms. You can file on paper by getting the forms from the IRS, filling it out and mailing it yourself. However, using a service provider to file your 1099 forms is convenient. We electronically file all our forms, and we do not file on paper. However, if you have less than 250 forms, the IRS allows mailing paper copies.
Some states require you to send them a copy of the 1099 forms you filed with the IRS. Other states don't require you to send a copy because they participate in the Combined Federal/State Filing Program (CF/SF). We participate in the CF/SF program, and we do not mail paper copies to states.
You can certainly use the Adobe (. pdf) blank 1099-MISC form available from the IRS.gov website to print Form 1099 and give copies B & C to your recipients, as well as others to whom you need to issue 1099s, such as attorneys, etc. However, you cannot use a downloaded PDF to mail to the IRS. For mailing to the IRS, you need to order forms from the IRS. You can also purchase the 1099 forms from Staples and many other retailers.
You can download the 1099 forms from the IRS website, but you cannot use it to file with the IRS. You must get the IRS's physical forms to fill out Copy A and file with the IRS.
Staples, as well as many other retailers, do sell a bundle of 1099 forms. Please check out your local stores. Note that when buying 1099 forms, you must also purchase and file form 1096. You can also try an online 1099 filing provider like eFile360 to file your 1099 forms online conveniently.

You can submit all 1099 forms online using the Filing Information Returns Electronically (FIRE) system. The FIRE system is the IRS's e-filing system, and you must be pre-authorized to use the system. Alternatively, you can use an online service provider like eFile360, to file your 1099s conveniently.
If you are using our filing service to print your 1099 forms, you do not need pre-printed forms. We provide you 1099 copies that you can print on blank paper. When we mail recipient copies, we use pre-printed pressure seal forms.
January 31 is the due date by which 1099 forms must be mailed out to recipients. If you are mailing paper copies to IRS, the deadline is January 31. The deadline to file electronically is also January 31. Please check the 1099 deadlines for more detail.
In addition to sending 1099 copies to Recipient, you also need to send a copy to the IRS. Here are the copies and why you need them:
To print 1099 forms, you can go to the Manage page and look for reports. Click on the Print Forms button and then select the form type and the year to print. You can also print all forms or pick only a few. By default we mask Recipient's SSN, you can choose to unmask. Click on the print forms button to get PDF copies of your forms.

You must send Copies A of all paper Forms 1097, 1098, 1099, 3921, 3922, 5498, and W-2G to the IRS with Form 1096, Annual Summary and Transmittal of U.S. Information Returns. If you have fewer than 250 forms, you can send paper copies to the IRS. If you have 250 or more forms, you must electronically file the forms with the IRS. The IRS encourages you to file electronically even if you have fewer than 250 forms.
In general, companies must send 1099-MISC forms if they've paid a nonemployee $600 or more during the year. For detailed filing requirements, check out 1099 filing requirements.
Form 1099 is generally issued to any vendors if you have paid at least $600 in rents, services, prizes, and awards, etc. The form is required if the payments were made during the course of your trade/business. Personal payments are not reportable. Please check out the 1099 filing requirements.
If you file a physical copy of Form 1099-MISC, Copy A to the IRS, you also need to complete and file Form 1096. The IRS uses Form 1096 to track every physical 1099 you are filing for the year. The deadline for Form 1096 is January 31, 2020. Alternately, you can file electronically using an online service provider like eFile360.
